Students File Specification
Overview
The student profiles file provides student demographic and contact information from the institution's SIS. Meadow uses it to identify students, support communications, and associate students with school year, program, and campus metadata. Each row is one student.
Students are included based on the following selection criteria:
- Any student enrolled in the last 3 years
- Any student with a transaction within the last year
- Any student with an outstanding balance
- Any student assigned to the pre-collections hold code

- One row per student
- Includes students meeting at least one of the selection criteria above
- Output is based on the result set of the base student selection, with profile attributes appended

Business Rules
Student Population
- The file includes only students returned by the base student selection logic.
- Each row represents a single distinct student.
- Students do not need to be currently attending if they meet other selection criteria.
Name Logic
first_nameuses the preferred name when available, otherwise the legal first name.last_nameuses the standard last name from the SIS.
Phone Logic
primary_phoneis sourced from the student's mobile phone, when available.additional_phoneis sourced from the student's home phone, when available.- Only phone numbers with a verification status of Valid or Verified are included.
- Private phone numbers are excluded.
- Phone types are hardcoded:
Mobileforprimary_phone_typeandHomeforadditional_phone_type.
Email Logic
primary_emailis sourced from the configured preferred email type, typically the school email address.additional_emailis the first active alternate email that does not match the configured primary email type.
Academic and Program Logic
school_year_nameis populated from the student's current class standing.college_nameis populated from the student's current degree or program.campus_nameis populated from the student's current campus or location.
Formatting Rules
- Blank legacy fields must be included in the file and left empty.
- Country fields use the ISO 2-letter country code when available.
currently_attendingisYif active,Nif not active or null.- Phone and email fields may be blank if no eligible value exists.

Notes
- Include all students meeting the inclusion criteria.
- Do not include duplicate student rows.
- Legacy fields are required for schema consistency across Meadow integrations.
- Some fields may be blank if the institution does not maintain those values in the SIS.
